Website Committee Report

1.  Word Press:

a.  Join/Renew Button:  As of 7/10/13, a re-installation of the CiviCRM database is scheduled to repair the financial functions (PayPal, pay by credit card).  Once this is accomplished, we can remove the 3rd step of paying for membership using the PayPal button on the front page.
b.  I will be asking for help in setting up a work party to transfer CiviCRM user records to the new site in July or August with Emory.
c.  New links have been set up for RID certification, Useful Links and Bylaws.
d.  The next function to be added to the website is a member directory.  This should be installed by August 1st (but not until after the financial functionality is restored).
e.  Users:

1.  New committee structure:

a.  Web designer has been hired to design and maintain the website: Bob Woods from Cascadia, Inc. We have been in constant contact and working diligently together to restore the website to full functionality.

i.     Due to the numerous difficulties with the current website functionality, the website is being migrated to a WordPress platform.

ii.     Much of the appearance will remain the same with improved reliability of membership records (member ability to join, renew and review membership records)

iii.     Member-focused functions such as event calendar, directory and photo gallery are being added.

iv.     New page for Organizational members to post events and information

v.     Transfer of membership records is being done manually to avoid structure-incompatibility issues and to ensure member records are transferred correctly.

vi.     Goal go-live date will be this summer (perhaps by today?),

b.  Committee chair serves as liaison between board and web designer.
c.  Committee chair can make minor additions and corrections to the database structure (Still using current CiviCRM structure) and content.
d.  Committee chair will train board and committee chairs on how to add content.
e.  New committee chair email address:  websitechair@scrid.org

2.      Google Apps: 

a.  Spoof email invasion:  Spoof or spam emails had invaded SCRID gmail accounts.  Additional protection was added to our accounts.  No further hacking has taken place since then.
b.  Membership email address has been changed to membershipchair@scrid.org.
c.  Google Phone:  There were 2 numbers associated with SCRID’s account at the time I was appointed as chair of this committee.  One number was an unknown individual not associated with SCRID that could be verified.  To avoid confusion and concerns with confidentiality, a new number was created: (323) 379-4541 (Google Voicemail).
d.  Google Voice messages are being forwarded to Beth for delegation. I field the website and membership questions personally. Once a membership chair has been appointed, membership-related messages will also be forwarded to Beth for delegation.

3.  Website content:

a.  Website front page content from committees, national, regional and local RID news and event information should be sent to websitechair@scrid.org.
b.  No content will be added without initiation from the officers or chairs.
c.  Text, formatting (font type, size, color and links) and graphics (logos, icons and photos) must be sent with 1 week advance notice.
d.  It is highly recommended that this step be included in the promotion phase of every SCRID event.

4.  Acknowledging Daryl Crouse, former webmaster for bringing SCRID to the next level of technological advancement.  We would not have ventured to this point without his sharing of his experience and talents.  Thank you for your service and your dedication.

1.  Word Press:

a.  Content for the last year has been transferred to the new site.

b. Back-end descriptions and settings for active pages have been cleaned up.

c. The user section of CiviCRM has been designed for separate roles to allow restricted access:

i.     Administrator/Superadministrator: full access to content, design & database

ii.     Editor/Author:  access to content, ability to add, delete or modify articles

iii.     Subscriber: access to profile username and password modification only

iv.     I am hoping we will have a list of membership activity as well – Bob is researching this feature of CiviCRM.

d.  A new “Organizational Member” page has been created for recruitment and event promoting events, etc.
e.  To view the un-published version (still under construction), go to http://scrid.org/wordpress/.
f.  Join/Renew Button:  The next step is to activate the join/renew button which will be connected to PayPal.
g.  I will be asking for help in setting up a work party to transfer CiviCRM user records to the new site in June. I had hoped to have this accomplished before the Annual Membership meeting in June, but personal commitments have forced me to put it off until after June 20th.
h.  Bob Wood’s contract has been paid in full.

2.  Google Apps:

b.  Membership email address is still disabled.  I will be creating an alternate address very soon. For now I am using the websitechair email account.

3.      Twitter:   Dorene Holm (current SCRID Secretary) has volunteered to send SCRID event Tweets on a regular basis.

1.  Word Press:

  1. Appearance is looking closer to the current Joomla site, but some items that are less useful or empty links have been eliminated or replaced by other features.
  2. I am helping to transfer content to save funds for design
  3. To view the un-published version (still under construction), go to http://scrid.org/wordpress/.
  4. I have administrative access to the new site.
  5. CiviCRM user records should be successfully exported to the new site by Saturday, March 9. (This date moves based on other pressing website issues that take precedence.)
  6. Richard has agreed to pay the first installment of Bob’s contract (as of 3/4/13)

2.     Lou Fant Banquet:

  1. Event set up on SCRID live website
  2. Still working on issue of meal choice information missing in reports or receipts
  3. Ticket sales notifications are being sent to the website chair mail account
  4. Ticket sales reports can be generated on PayPal and from the Joomla database
  5. Please register as soon as you can so we can test the PayPal setup before the rest of the membership starts to sign up

3.     Joomla Database developments:

  1. I have changed Richard’s profile as treasurer to manager so he will have access to the database (this level of administration will be transferred to the Word Press site
  2. Set up a PayPal button for certified member introductory rate ($13.50 off) on the Membership Blog page

4.      Twitter:

  1. I have re-activated the SCRID Twitter account.
  2. We need a volunteer to manage and use to promote SCRID activities

5.      Gmail accounts:

a.      Spoof email invasion:

i.     The president@scrid.org account received a spoof email addressed from webmaster@scrid.org.

ii.     A report was made to Google Apps.  Instructions to protect our mail accounts were sent and forwarded to Bob Woods.  Bob will return to this issue once the Lou Fant banquet meal choice issue and the transfer of users to the new Word Press site has been accomplished.

iii.     No further emails seem to be showing up, but Google Apps tech support has warned that these emails can show up at almost any time.

b.  Membership gmail account problems (seems to be limited to the membership account)

i.     Receiving undeliverable messages when email is sent to this account

ii.     Message can be sent from this account, but can’t receive them

iii.     Tried to research the problem on Google Apps Support, but unable to resolve

iv.     Sent issue to Bob Woods on 3/2/13

  1. New website platform:  Due to the issues with “A Private Message…” email being sent to random members each time a modification was made to the Joomla website (cause and solution were never found), we have been forced to look at a new website.  Bob Woods (current web designer) has recommended Word Press.
    1. WordPress is similar to Joomla in that users can post content via login access from any computer.  Membership and the user database are available in WordPress as well.
    2. To view the un-published version (still under construction), go to http://scrid.org/wordpress/.
    3. I have administrative access to the new site.
    4. CiviCRM should be successfully exported to the new site.  Test users are scheduled to be transferred to the WordPress site prior to this board meeting. Addendum to follow with this report.
    5. Bob Woods has provided design templates for the website.  Addendum to follow with this report.

No contract was produced or monies spent for the motion passed at the November 14, 2012 board meeting:

The SCRID board enter into a contract with Bob Woods as new Webmaster of the SCRID website, earmark no more than $600 for start-up fees and budget for a maximum of $100/month for 12 months for maintenance.

  1. A contract and invoice for services provided are forthcoming. Because of the change to a new website structure, the original start-up fees are now $1800.00, with maintenance fees as needed at $50.00/hour.  (See motion.)  We should consider ear-marking 1 – 2 hours/month for maintenance and design modifications.  This would total $600 to $1200 per year.
  2. I expect to be heavily involved with maintenance, content changes, training for editors (officers and committee chairs) and the transfer of user profiles (if needed).  This should reduce the cost of maintenance.
  3. Bob has been in frequent contact with me – weekly since October, 2012 (except for December during winter break).

Motion proposal:

The SCRID board enter into a contract with Bob Woods as designer of a new SCRID website of $1800.00 to create a new WordPress platform and compatible CiviCRM database structure and budget for a maximum of $100/month for 12 months for maintenance.

Rationale:  The current Joomla platform continues to send sporadic empty “spam” emails to members when content is modified.  Further, PayPal accounts are not responding reliably.  Content and the CiviCRM user database must be transferred to a new platform.  Bob Woods has been in continual contact with the Website Committee Chair regarding the technical difficulties and determination of using WordPress as the new website platform.

  • Word Press is a blogging site.  It’s not clear how all of the functionality of the current website will transfer over.
  • Content is being transferred section by section.
  • CiviCRM should be successfully exported to the new site.  This should be tested by February 1, 2013.
  • Users (board members and committee chairs) will be tested on February 1, 2013.  We can test the access level to the backend at that time.

2.  A contract and invoice for services provided are forthcoming. Because of the change to a new website structure, the original start-up fees may be significantly higher.  An estimate should be available at the time this report is presented at the January 26 Face-to-Face meeting.

3.  Bob has been in frequent contact with me – weekly since October, 2012 (except for December during winter break).

Addendum:

  • We will be using WordPress (example of WordPress website shown)
  • Bob Woods asking for $1800 to cover the transfer of the website from Joomla to WordPress (higher volume of labor involved)
  • Phase one of users being moved to the new site should take place Feb 1, 2013

 Current issues:

1.       “Officers” Group email on Google apps gmail is not working.  This was brought to Daryl’s attention, but nothing was resolved.  I’ve looked into it, but it’s beyond my abilities to analyze.  I will ask Bob to help fix this once we have a contract with him.

2.        Spam/virus – Bob has agreed to research the origin of the email being sent from @scrid.org accounts.  They are not originating from our personal computers.  They appear to be embedded in the sql files.  I have asked Bob to send an invoice for the work he’s doing to help with this issue because SCRID has not yet entered into a contract with him (no quorum at October 2012 meeting).

3.       PayPal memberships are being logged as “pending” on the database when full payments are being made.  This will be sent to Bob once we have entered into a contract with him.  I am updating the database manually until then.

4.       ***Posting reports on SCRID.org – I would like to propose a day for website training to show officers and committee chairs how to upload your reports to the website. This will relieve Dorene from having to collect your reports for each meeting and makes the reports immediately accessible to the public.

5.       Updating the website:

a.        I have begun updating the front page of the website.  This page is being updated as new items are brought to my attention.

b.       PLEASE send me items to update – pictures, news, announcements.  The pictures in the slideshows on the front page are 3 years old!  I have sent 2 email requests to the officers and committee chairs.  So far I have received one item from one officer and requests to update the CMP webpages.

1. The website has been upgraded to Joomla 2.5. This should resolve most of the broken functions that the website has experienced for the last year or so. However, most of the content has been altered in the upgrade.

2. I have been working on the website to the best of my ability, considering my training, experience and time. I’m getting used to the new version and trying to restore pages.

3. I have been getting some support from Daryl, but have begun to get support from Bob Woods (see motion). Bob will be able to tackle the larger content and database glitches.

4. Many thanks to Daryl Crouse for the development and maintenance of the SCRID Website for the last 3 years. It was a heroic feat!

5.    A search and request for bids for web designers was conducted from June 2 to September 4th, 2012 (See chart, below).  Most webhosting companies screened were either unfamiliar with, or unwilling to work with the Joomla platform.  Only two bids were produced: Bob Woods and Daryl Crouse (Current webmaster). 

 

Bob Woods comes highly recommended and is one of the few resources that work with our current back-side database platform, Joomla. He is able to take over the website now that the website upgrade to Joomla (2.5) and CiviCRM (4.1.25) has been completed.
